What do you do to keep your NDIS plans organised??

I currently self manage both my son's NDIS plans. I am a paper planner girl, over past few years I have used a lovely small business in Tasmania for my planning needs, they have an NDIS planner insert package that I used and now i order custom planner inserts for my NDIS plan needs. I prefer paper planner vs electronic, as I started out on this journey i was able to take it with me to all appointments and had it in the car. I was able to have it on hand when any questions arose about invoices, payments and appointments. Now that the boys are having therapies at school/ kindy. I get the invoices electronically, but I still record them in my planner. What do you prefer and why?

Self managed for two children. Almost all my invoice have come to me electronically (I have some paper invoices and their plans in a folder that I take to appointments.) I use folders in my iPhone /iPad in photos and the storage files to organise invoices for 2 children dated this plan year. I also have an excel spreadsheet but I don’t use it as often as I should I just put the amount, whether I paid the invoice and whether I claimed on the ndis app also.

I’m a computer girl for storage. I lose paper 😂 But I love writing things on paper to process them. So I organise things for my brain on paper, then I record and save on computer

I got stung half way through Oliver's first plan, I had an Excel spreadsheet. The NDIS rates changed and to compensate for this his plan was increased slightly to cover the rate increase. However I wasn't notified of the plan increase and all my budget spending was out of whack and too me ages to fix manually. Since the change in the portal, where you can add descriptions when claiming and other plan break downs. I use that now to keep track of the funds spent. When I first get there plans I sit down and work out a cost for each therapy and plan a budget. I always try to have a small amount left in the budget for unexpected costs.

I do half & half I have all invoices emailed to a specific email address only for miss K plan, this is how I communicate with all involved in her journey using the one email, I then categorise them by marking as green once claimed and placing them in a file for each year …. My need for paper though is strong …. So as I make a claim I write in a book the service, dates, amount claimed, and invoice number so I also have this record. My first year I was quite disorganised …. I’m now on top of it & tend to claim once every 3 weeks

I use the NDIS app to make claims and you can upload invoices for each claim either by uploading a PDF or can take a photo on the spot. You can also save a list of favourite claims which makes the regular ones heaps quicker. I have separate and specific email addresses for both kids. I have filters set up so they automatically get labeled accordingly as they come into the inbox. I mark invoices with a star and then go to 'starred' when I'm ready to claim them. Once I've claimed them I archive them which takes them out of the inbox but they'll be in there filtered folder. Once they are paid I unstar them. When ever I need to reevaluate and see if I'm on track with there plans, I have a spreadsheet I've set up that I use. I use data like how many weeks are left what each therapy costs and what they will have booked during the time left in there plan
